EXECUTIVE MEETING

MONDAY MAY 11TH, 2015

Declaration of Pecuniary Interest or Conflict of Interest: None
Confirmation of the Agenda: Additions Deletions, or Amendments: None
Geraldine Fitzsimmons, Manager of Chamber of Commerce, guest at meeting to discuss joint Tourist Information proposal prior to meeting the request going before Council.
Resolution to adopt the request to council for funding in the amount of $6000.00 for the delivery of Tourist Information at the Morrisburg Plaza.

The delivery of tourist information will be done in partnership with the South Dundas Chamber of Commerce and the funding request will be form both organizations.

Review and Approval of Last Executive Minutes:
That the minutes dated April 13th, 2015 be approved as circulated.

Co-ordinator’s Report: None
Old Business

Proposed Tax Increase: no action to be taken at this time.
Antiquefest: As of this meeting only 11 confirmed vendors = 11 Tents for Antiquefest
Pylon Sign: Municipality has been notified that lights are out in the sign.
New Business:
I.P.M. Sponsorship Opportunities
Action: no direct sponsorship by BIA, Coordinator to send out Sponsorship Information provided to members for their information and follow-up.
Pork Fest- Charge for participating vendors.
Action: Vendors will not be charged a fee to participate this year but must have 2 million dollar liability coverage with the Municipality named on the policy in order to participate in this event. Charges may apply to vendors in future years.

 
R.F.P. Morrisburg Plaza
Action: Coordinator to contact Municipality regarding scope of work, dollar amount allocated to this project and expected timeline.
Farmers Market – posters and rack cards to promote Farmers/Crafters market being printed and paid for by Municipality.
Action: Coordinator to advertise in current events section of newspapers and look into other available advertisement opportunities.

Flags up – Canadian flags to be installed at plazas prior to Victoria Day Weekend
Action: Coordinator to call Paul Plante to arrange for installation
Spraying for Spiders – spraying of both plazas for spiders
Action: Coordinator to ask for quotes on this work and report back to the Board.
That the Morrisburg DBIA Board of Management proceed In Camera in order to address matters pertaining to personal matters about an identifiable individual, an employee; and litigation or potential litigation, including any/all matters affecting the Morrisburg D.B.I.A.
